Front Office Associate

Nmble Medical is partnering with a rapidly growing pediatric practice in Anderson, Indiana, to recruit a compassionate, detail-oriented, and customer-focused Front Office Associate. This role is ideal for someone who enjoys working with children and families while supporting the administrative and financial functions that help ensure exceptional patient care.
As the first point of contact for patients and families, you will play a vital role in creating a welcoming experience while ensuring accurate patient registration, insurance verification, and revenue cycle support.
Key Responsibilities
Greet patients and families in a professional, friendly, and welcoming manner in-person and via phone.
Check patients in and out for scheduled appointments.
Schedule, reschedule, and confirm patient appointments.
Verify insurance eligibility and coverage prior to appointments.
Explain insurance benefits, patient financial responsibility, copays, deductibles, and outstanding balances.
Collect patient payments and maintain accurate payment records.
Enter and update patient demographics and insurance information.
Maintain accurate patient records within the electronic medical record (EMR) system.
Submit insurance claims and assist with claim tracking and follow-up.
Research and resolve claim denials and payment discrepancies.
Communicate effectively with insurance carriers regarding claim status and coverage questions.
Ensure compliance with HIPAA and patient confidentiality requirements.
Collaborate with clinical staff to support efficient patient flow and positive patient experiences.
Qualifications
High school diploma or equivalent required.
Minimum one year of dental office experience.
Experience working with pediatric patients and families is a plus.
Familiarity with electronic medical record (EMR) systems required.
Knowledge of medical insurance verification, benefits, claims submission, and denial management (specifically knowledge of Medicaid plans is preferred).
Strong understanding of patient financial responsibility and insurance terminology.
Excellent communication, customer service, and organizational skills.
Ability to multitask in a fast-paced healthcare environment.
Proficiency with Microsoft Office and general computer applications.
Preferred Experience
Pediatric practice experience.
Medical billing or revenue cycle management experience.
Experience working with Medicaid, commercial insurance plans, and managed care organizations.
Knowledge of insurance authorization and referral processes.
